Language support designed around the event

A congress with plenary sessions requires a different setup from an exhibition stand or a schedule of B2B appointments. Audience, languages, agenda, spaces and timing determine whether simultaneous, consecutive, liaison or a combination of formats is appropriate.

We review the programme with the organiser and coordinate the language team with production, AV suppliers and room contacts. Slides, speaker notes and glossaries supplied in advance help interpreters prepare the content and terminology.

How we plan event interpreting

1

Programme review

We collect the agenda, languages, audience, speakers, rooms, format and movement between sessions.

2

Operational proposal

We define formats, interpreter numbers, shifts, positions and equipment according to the actual timings.

3

Preparation and coordination

We circulate materials, prepare terminology and align interpreters, organisers and the technical supplier.

4

On-site event support

We manage accreditation, sound checks, room changes and operational updates with an agreed contact person.

Interpreters for conferences, congresses and exhibition stands

Congresses and conferences

Simultaneous interpreting for plenary and breakout sessions, or consecutive support for panels, interviews and formal moments. Interpreter numbers depend on the languages, duration and programme structure.

Exhibition stands and trade meetings

Liaison or consecutive interpreting to welcome visitors, present products and facilitate meetings with buyers and distributors. Support can cover selected appointments or the full exhibition day.

Conventions and product launches

Support for presentations, round tables, technical sessions and networking with international guests. We coordinate transitions between stage, meeting rooms, demonstrations and private discussions.

FAQ

Which format is best for a conference?

Simultaneous interpreting often suits plenaries and tight schedules; consecutive works well for short panels, interviews and smaller groups. The agenda, audience and number of languages determine the solution.

How many interpreters does an event need?

This depends on duration, languages, parallel sessions and format. Longer simultaneous assignments normally require teams and shifts; we propose staffing after reviewing the programme.

Do you provide booths, headsets and receivers?

Yes, equipment rental can be integrated and coordinated with the venue's supplier. Room layout, capacity, audio system and channel numbers should be checked in advance.

Can you cover multiple rooms and languages?

Yes, we prepare a plan for parallel sessions and different language combinations, checking transitions, overlaps and contacts for each area.

How far in advance should the service be arranged?

For conferences and trade fairs, planning should start as soon as the programme and languages are known. More notice supports selection, preparation, site checks and equipment availability.

How much does trade fair or conference interpreting cost?

The quote depends on event days, languages, format, room numbers, interpreters and equipment. Even a draft programme lets us prepare an initial proposal.
